Instructors: How do I hire GSIs & Readers?

Every semester, Jay Stowsky's office coordinates with Department Chairs to allocate a budget of GSI and Reader positions to courses. Courses that have budget for GSIs and/or Readers are listed on the Haas GSI & Reader Application website (see below). To see information about applicants for GSI or Reader positions for your course, Instructors can access the GSI & Reader Applicants and Appointments report using their CalNet ID and password.
Once you have decided who you want to hire, send an email to the GSI/Reader Hiring Coordinator rrocco@haas.berkeley.edu including:

1. the course number
2. the appointment percentage
3. whether this is for a GSI or Reader
4. the name of the student you want to hire, and
5. the course sections for which this student will be responsible
Example: For UGBA 10, I would like to hire as a 30% GSI: Frank Sinatra for sections 101 & 102.
We'll then send Frank an official Appointment Letter and instructions regarding hiring paperwork.
You can return to the GSI & Reader Applicants and Appointments report to verify that we've added the student to our list of appointees, which means we've started the Appointment and hiring processes.

Step 1: Inquire about positions
GSI and Reader positions are posted in the "Which are you applying for" section of the
Haas GSI & Reader Application website. You may also inquire with professors with whom you want to work.
Step 2: Are you qualified?
Before applying for a GSI or Reader position, you need to ensure that you have met all the University requirements.
Key qualifications for GSIs:
- Must be enrolled in at least 12 units
- Have a 3.1 GPA or higher
- Not on Academic Probation
- No more than 2 Incomplete grades in upper division or graduate courses
- If English is not your native language, you must pass either the Test of Spoken English (TSE) or the Speaking Proficiency English Assessment Kit (SPEAK), administered on the Berkeley campus. More info here or call 643-1007.
- First year MBA students may not secure a GSI or Reader position in their first semester at Haas without permission from the Program Director.
Note: You can request exemptions from some of these requirements if you can get the Hiring Unit to sign a Request for Exception Form for you (see below). Students cannot be both a GSI and a Reader for the same course.
Key qualifications for Readers:
- Must have taken and received at least a B grade in the course or another course equivalent to the one in which they are serving.
- Registered students: 3.0 GPA or higher, no more than 2 Incompletes in upper division or graduate courses, not on Academic Probation.
- Non-registered students: 3.0 GPA or higher in your previous academic work.
- You may not be enrolled in the same course for which you are a Reader.
- First year MBA students may not secure a GSI or Reader position in their first semester at Haas without permission from the Program Director.

Step 3: Apply
Everyone must apply through the Haas GSI & Reader Application website, where you'll enter your profile and attach a resume. This information is passed along to the faculty who make the hiring decision.
Step 4: Get selected
The faculty notifies the GSI Hiring Coordinator about which students they would like to employ. After we conduct a preliminary verification to ensure your employment eligibility, the GSI Hiring Coordinator will e-mail you an Appointment Letter and refer you to Step 5 to start your paperwork.
Step 5: Do your paperwork by completing the relevant forms below
As soon as you receive your appointment letter from the GSI Hiring Coordinator, you can begin filling out several forms. How many forms? That depends on whether you are a:
- A brand new hire -- if you have never been employed by UC Berkeley
- A rehire -- all Readers who have been employed by UC Berkeley before are considered rehires. GSIs who have been employed by UC Berkeley before but not as a GSI during the semester before.
- A continuing employee -- if you are being appointed as a GSI and you were a GSI during the semester immediately before this new appointment begins (for Summer 2005 GSI appointments, this means you were a GSI during Spring 2005, Fall 2005 appointments are only continuing if you were a GSI in Summer 2005, etc)
Once you figure out which of these three categories you're in, then use this matrix to print out and complete the appropriate forms.

Step 6: Submit your completed paperwork
If you are a 'continuing employee' you may submit your hiring forns to the mailbox marked #59 outside the Haas main mailroom (S545, near the elevator) or fax them to (510) 643-9428. If you are a 'new hire' or 'rehire' you MUST contact rrocco@haas.berkeley.edu to schedule an appointment to go over your hiring documents.
Step 7: We'll invite you to present some official documents and sign some forms in front of us
Once a brief appointment has been scheduled (15 minutes max), we will review your submitted forms to ensure they're complete. Appointments are held in Room S522K in Haas Dean's Suite (5th Floor of the Student Services Building) At this time you are required to present your official identification papers and sign several forms:
- Employment Eligibility Verification (Form I-9) -- Unless you've already done so in the past 36 months, you'll need to complete the federal I-9 form that says you've proven to us you're eligible to work in the US. The I-9 requires that you bring some official identification papers. See page 3 of the I-9 form (.pdf) for a list of documents you need to bring with you when you visit the GSI Administrator. Typically, US Citizens bring either (a) their passport OR (b) both their driver's license and social security card. Citizens of other countries typically bring their passport, J-I or F-1 visa, and Work Authorization information.

Getting started as a GSI once you are hired
Questions about this section? Contact Richard Wang, Head GSI wgsi@haas.berkeley.edu- Fall 2009 GSI Pedagogy Course: The Fall 2009 MBA300 Pedagogy course is scheduled for Thursday August 27, from 6:00-9:30pm in C220 Chiet. The CCN is 09371. We will run through GSI responsibilities, field questions, give a few pointers, etc. This course is mandatory for first time GSIs.
How to register: Register through Telebears (which can be accessed off the UC Berkeley homepage) We are using Telebears and not the "normal" system because this is technically a non-Haas class. The Course Control Number is: Please check back for updates.
Exemptions: If you GSIed for the first time before Fall 2004 you are exempt. If you've taken PHD300 or a pedagogy class from another department in UC Berkeley you are exempt.
Will there be a makeup class? TBD.
NOTE: Ph.D. students should take PHD300 (Teaching Business) to fulfill this requirement!

No later than the end of the third week of classes, every first-time GSI must successfully complete an online short course on professional ethics and standards in teaching. The course has been developed and is administered by the GSI Teaching and Resource Center. Instruction will include information on such topics as academic integrity, sexual harassment, teaching students with disabilities, academic freedom, political speech, confidentiality, Title VI, and Title IX.
Registration: GSIs can register and take the course by going to the GSI Teaching and Resource Center's Web site at http://gsi.berkeley.edu/

Getting paid as GSI or Reader
Questions about this section? Contact the GSI/Reader Hiring Coordinator rrocco@haas.berkeley.edu- GSI Salary. Your monthly pay depends upon your appointment percentage. For GSIs, multiply your percentage appointment by $3,327.40 (as of 10/1/2008) to calculate your monthly gross pay. (Note this info pertains to the "GSI Step 1" title). Full semester appointments are paid for 5 full months. Here are some examples of pay:

Reader Gross Salary (as of 10/1/2008)
- Readers who are graduate students are paid $12.18 per hour. Readers who are undergraduate students are paid $12.18 per hour. Reader monthly pay is based on monthly timesheets Readers submit (see below).
More info on wage rates available at the Grad Division's Academic Appointments website. - Partial fee remissions. GSIs and Readers with appointments totaling at least 25% are eligible for partial fee remissions. According to the Grad Division's "Fee Remission Program Bulletin" (.pdf), the partial fee remission for MBA students is $4,827.00; for Ph.D. students, it's $5,334.00 for each semester you qualify . The partial fee remission covers your University Registration Fee, Educational Fee, and Health Insurance Fee. However, certain conditions apply including that you must be registered, which Grad Division defines as your (a) being enrolled in at least 12 units; (b) having no current blocks on your record; and (c) your having paid at least 20% of your fees. There are more conditions -- see the "Fee Remission Program Bulletin" (.pdf) and "What you need to know about being a GSI, GSR, Reader, or Tutor", both available at the Grad Division's Academic Appointments website.
- Getting paid as a GSI. GSIs are automatically paid monthly on the 1st of each month. No timesheets are necessary. For more information on schedules, refer to the UCB Payroll Office.
- Getting paid as a Reader. Readers are paid monthly on the 8th of each month (or if the 8th falls on a weekend, then the Friday before) but every month you must complete and submit a timesheet by the due dates on that form: print it out, have the instructor sign it, and submit it to the mailbox #59 located outside the Haas main mailroom (S 545). For more information on pay schedules, refer to the UCB Payroll Office.
- Collecting your paycheck; accessing pay records. Paychecks are delivered to the Accounting and Personnel office (S549) for safekeeping. Students can come to the Accounting and Personnel office to sign for and pick up their checks after 12 noon on their paydate. More info about collecting your paycheck. You can access your prior pay records using the EZ-SurePay system.
